How It Works
Three steps from sign-up to a dedicated secretary answering your phones.
Sign Up & Tell Us Your Needs
Tell us your trade, the hours you need covered and what you want handled. The form takes a few minutes.
Get Matched With Your Secretary
We shortlist people who have already worked in your trade. You talk to them first and pick the one you want.
Start Growing Your Business
We load your scripts, prices and service area, test call forwarding, and your receptionist starts taking calls.
Your Onboarding Timeline
Tell us what you need
Short intake form: trade, hours, tasks. Under five minutes.
Meet your match
We put forward secretaries with experience in your trade. You interview and choose.
Briefing & access
We set up logins, load your scripts and price sheet, and test call forwarding.
First shift
Your secretary starts answering, booking and dispatching. You get a daily summary.
Optimise
We review results with you and add tasks such as follow-ups or back office.
What We Need From You
Gather these before your briefing and your secretary sounds like part of the team from the first call.
- Your greeting and how you want calls answered
- Your price sheet, fees and services you don't offer
- Your service area by ZIP code or map
- Technicians, skills and on-call rota
- Logins for your phone system and job software
- Emergency rules and escalation contacts
How We Match You With the Right Person
Matching is the step that decides whether the service works. We look at four things: the trade you are in, the work you want covered (reception, dispatch, outbound or admin), the hours you need, and the software you run. A plumbing company on ServiceTitan that needs evening cover gets a different shortlist from a cleaning company on Jobber that needs daytime booking.
You then speak to the shortlisted candidates. Listen for the things your customers will notice: a clear voice, calm under pressure and good questions. If nobody fits, we go back to the shortlist.
Access, Security and Your Data
Your receptionist gets their own user login for each tool, with only the permissions the work needs. They never need your banking access or personal passwords, and you can remove access at any time. Most phone systems let you forward your existing number or add a user to a ring group, so your business number does not change.
After Go-Live
During the first week you get a daily call summary and a short check-in, which is when most scripts get tuned. After that, summaries move to the rhythm you prefer and we review results together each month: answer rate, jobs booked, callbacks and anything the receptionist has spotted. Many clients then add tasks such as estimate follow-up or back-office work once the phones are running smoothly.
Onboarding FAQ
How long does onboarding take?
Most clients are live within 48 to 72 hours of signing up.
Do I interview the candidate?
Yes. You interview your matched secretary before anything starts.
How do calls reach my secretary?
Usually by forwarding your business line or adding your secretary to your phone system's ring group. Your number doesn't change.
What happens in the first week?
Your secretary shadows your scripts, you review call summaries daily and we fine-tune the rules together.
